This is the summary of our case study for the first event app of the Strategy Workshop. Do you want to know how the colleagues there made their first app a success? Then check out the entire study!

Reading time: 3 Minutes

How did the organizers do it? This is exactly the question we want to get to the bottom of in this case study. In this article, we introduce you to the initial situation and the result. If you are interested in the method, you can download the entire case study by filling the form at the end. You will receive a mail which shows you how.

We decided to use an app to go the digital way of event marketing and event information. Additionally, we wanted to increase the interaction of our guests with the event.

The organizers contacted us and asked for help. Subsequently, we accompanied the event to a large extent and actively participated in the conception and creation of the app. In this case study, we want to show you exactly what we recommended and implemented. At the beginning just this tip: It’s all about promotion and participant interaction.

Would you like to take a closer look at the app? Then just click here:

The Audience

From students to retirees, all ages were present. However, not all target groups get along equally well when using electronic media. The younger ones are, according to experience, much more affine than older participants.

Nevertheless, a proper promotion before and during the event is important – for the older participants, to give the digital solution a chance and for the younger ones to use it on their devices despite the flood of apps.

We particularly liked […] the active involvement of the audience through live surveys, and obtaining feedback and taking on questions from the audience.

Usage Statistics – How many users were there?

The short answer: Quite a lot! The app was opened for the first time on 223 devices. There were 533 sessions in total, which means that each user visited the app 2.39 times. 5,633 pages were visited within the app- that’s 10.57 pages per session. The average session lasted 7:31 minutes.

Incidentally, there were 150 users in the app on the day of the event. This corresponds to 71% of those present (around 210) guests. A fantastic result!

As far as the survey participation is concerned, with 74 replies 35% of the guests were involved. That too is a great value

What we say: These numbers are a complete success! First and foremost, it is thanks to the successful promotion of the app. In the case study, which you can download by filling out the form at the end of this article, you can read about the three factors that we strongly recommend. In addition, we show you some other things which are necessary for the successful use of an event app.

What do the organizers say?

At the end of this case study, Katja Weber will speak on behalf of the organizers. She accompanied the Strategy Conference organisationally and will explain why she decided to use an event app in general and why LineUpr in particular.

We learned about LineUpr from our colleagues at Energy Saxony e.V. We decided to use an app to go the digital way of event marketing and event information. Additionally, we wanted to increase the interaction of our guests with the event

We particularly liked the professional support for the complete creation of the event app, especially the active involvement of the audience through live surveys and obtaining feedback and taking on questions from the audience. Furthermore, we also like the ecological aspect very much, as we were able to largely get rid of paper printouts in the form of lists etc. (participant lists, agenda) thanks to the digital representation of all information about the event.

Thanks to the entire team of the Strategy Conference for their pleasant cooperation! We hope it was not the last time!

We will show you step by step how to evaluate the usage statistics for subpages of your event app, what information you can get and why your sponsors will appreciate it.

The post Offer Your Sponsors Measurable Reach first appeared on LineUpr Blog.

Reading time: 7 minutes

This article is about the evaluation of usage statistics. It ties in with the article Advantages of a Well-Promoted Apps. As an example, we have chosen the sponsors. We think you can get even more out of your sponsors with measurable numbers showing the sponsors’ reach.

We will show you how to evaluate the usage statistics of the corresponding subpages. Just use this guide and try it out. The results are really very interesting!

Google Analytics – the integration

In your Plus and Premium package, we have already prepared an integration with Google Analytics for you. All you have to do is connect your account to LineUpr. Instructions can be found here: https://lineupr.com/en/blog/how-to-analyze-event-statistics

Analysis using the sponsors as an example

We would like to explain the analysis of the usage data to you by, for example, visits to your sponsors’ profiles. But before we start, here is an explanation of the benefits that this will bring you.

Many offers towards the sponsors are still based on publishing a logo on printed materials such as flyers and posters. In the days of digital promotion, this is, for many reasons, no longer a good deal: Firstly, the conversion from paper to a digital media like a smartphone is relatively poor if the added value is not given. This means that only very few participants will continue to deal with the sponsor at all. Secondly, paper is pretty unwise when it comes to analyzing usage statistics.

No one knows how many times the logo was viewed on a poster. With LineUpr and Google Analytics, this is no longer a problem!

Now just imagine how happy your sponsors would be if you could give them a document which shows them exactly how many people viewed the sponsor’s profile and how often. If you then negotiate a bit more, not only will you have the deal for next year in your pocket, but you can certainly get more out of it.

The Concrete Steps – Analysis of the Data

Now we can go into the analysis of the data. The sponsors’ profiles are always hidden in the same place of the app. The link there, however, varies every time. This is composed of your organizer’s name and the event name. In addition, each sponsor has its own link. An example link looks like this: https://www.lineupr.com/[Organiser]/[Event]/[sponsors]/[name of the sponsor]

Here is the explanation of the link:

Organiser: The name of your LineUpr account.

Event: The name of your event.

Sponsors: By default, this is called “sponsors”. If you changed the wording in the settings (for example to partner), your choice will appear here.

Name of Sponsor: Here the name of the sponsor is displayed.

Of course, you can present sponsors in different places in the app, for example under locations. More tips about this can be found in this article: https://blog.lineupr.com/en/sponsoring-event-app/

Of course, this works similarly for other pages in the app.

Tip: If you do not know the link to the page that you want to find in Google Analytics, just open the page in the CMS (for example, a specific point in the program) and look at the address bar. The line after the last slash (“/”) is your search term. If the search does not produce any results, that corresponds to a number of 0 views.

Filter Google Analytics

Now that you know what to look for, you can ask Google Analytics for it. This works best by following these steps:

On the left sidebar go to “Behaviour” (1) and then to “Overview” (2)

Now go below the table on the right to “show full report” (3)

Now you can see an overview of all subpages. In the search bar (4) you can now look for different keywords. Just enter it and click on the small magnifying glass (5).

In the picture below, you can see all the pages of the app that match your search term. The entries are sorted by the frequency of the views. In our case, we have blurred the links for privacy reasons. The first entry is the one for the sponsor’s overview and contains all the views on the subpages, i.e. the sponsors’ profiles. The second entry refers to the page where you can edit the sponsors in the CMS. Therefore, it has nothing to do with the actual use of the app.

The Evaluation

Now you know how to get the data that you can share with your sponsors. The view generated can also be saved and shared. Simply click on “Export” (6 in the picture above) and select PDF as the file format. You can repeat the search and export process for each of your sponsors.

What should you have learned?

We’ve shown you how to use Google Analytics to track your visitors’ traffic on your sponsors’ profiles in the LineUpr app. With this step-by-step guide, there should not be any more problems. If so, just contact us – we are happy to help!

How do you design the reports for your sponsors? Are there any things we have forgotten? We always welcome feedback in the comments!

The post 10 Exciting Tech Tools for More Interaction at Your Events first appeared on LineUpr Blog.

Reading time: 6 minutes

The attention span of the average person is only 30 minutes. After that, it is difficult to understand further complex relationships. A break is needed here to be able to recharge mentally.

A pause doesn’t have to mean that your participants need to stand in the corner and get bored. You want just to lighten the mood a bit and that is best done with conversation.

This means that your job is to fuel networking among your participants between the lectures. To make this even more successful, here are ten tech ideas to increase interaction at events.

Automated Data Collection with an Event Management Platform

Even before the event you already have a lot of information about your participants and speakers, but do you use this data? An event management platform collects and analyses this data for you and simultaneously generates suggestions on how you can address individual participants based on their interests.

Many tools also provide you with live tracking so that you can record and analyze the behavior of your participants on-site at the event and afterward. For example, you can detect movement profiles and preferences for individual references and sponsors. The newest trend is facial recognition, with the ability to click back on emotions. All of this data can be used to send very individualized messages and offers to each participant.

One such provider that you can look at is doo.

Disclaimer: The new European General Data Protection Regulation makes data collection and analysis difficult for European events.

Survey Tools for Feedback and Participant Integration

Surveys, especially live ones, are still one of the hottest topics in the event world. There is no easier way to integrate participants into an event than to address their questions live on stage or to get a sense of the public’s interest through opinion polls.

In the past, feedback was primarily in the foreground, but today it’s about the live component. Organize small quizzes, elections, and polls. Get an opinion on a topic or have the participants ask their questions anonymously to the speakers.

In addition to surveys, if you want to present your speakers, sponsors and the programme digitally then you should take a look at LineUpr.
Event App as Digital Program Booklet

Everything is becoming digital. Of course, this also applies to the distribution of information. Whereas in the past all events had been set on printed programmes and flyers, most of them now use a website to showcase the agenda and the speakers.

One step further than a website is an event app. Here the entire program with speakers, participants, sponsors, and locations is presented in an individual app. Like a digital programme booklet that your participants always have in their pockets.

Of course, here we can only recommend that you try LineUpr. We offer top value for money and are the must-have tool for any event with up to 1,000 participants. If your events are a bit bigger and you want unique features adapted to your event, then EventMobi would be a good solution for your events.

Networking Apps for Getting to Know Each Other

Most people find it challenging to address strangers. It’s often hard to know what to say and sometimes everyone is already involved in a conversation. But as an event manager, you know that the success of your event depends on networking.

Some tools help you to simplify networking among your participants. These matchmaking apps automatically connect participants with the same interests or by coincidence and replace the “icebreaking” step.

Popular matchmaking apps are Topi and Match-App.

Messenger Apps as a Digital Discussion Medium

We all know WhatsApp from our private communication, but you can also work with messenger apps at events. If you want to initiate multiple discussions in small groups with different thematic focuses at your event, then the arguments and insights should also be documented.

There are also apps that enable to work on common goals and tasks in groups and make insights visible even after the event. A provider of such a solution is Worksup.

Chatbots as Contact Partners

As an event manager, you often get the same questions. In the long run, this can be very annoying, so that chatbots can take a lot of work off you. Use these automatic responders for the typical standard questions. You can define beforehand possible questions and the answers that the chatbot should deliver. So that there is more time left for the essentials.

A Chatbot provider is, for example, die Krallmann AG

Social Media Walls for Opinions

Of course, instead of using survey tools, you can also use social networks. Both Facebook and Twitter offer you the opportunity to have questions answered by your participants. On Twitter, you can even generate one or more streams to your event by giving your participants a hashtag. You can now view all messages that contain this hashtag directly on-screen.

This is most successful if moderators, speakers, and event organizers themselves use this medium and demonstrate its use to the participants.

Crowd Streaming for More Coverage

Be sure to record your important and popular event content with video and audio. You could also offer live streaming via Facebook Live. It is crucial that your participants can review the content later.

At the same time, you can use this content later for marketing purposes. Usually, two months before the event, many conferences offer the opportunity to see all the presentations of the previous year by logging in with your email address. You can easily collect potential subscribers and can then continue to send them samples through emails, etc.

Another very important point is good Wi-Fi, so that your participants can also create records for the event and distribute them over their networks.

Relaxed, Feel-Good Atmosphere for Better Networking

Your participants must feel comfortable at your event. Only then can they openly approach strangers. This also means that you can create areas where it is a little quieter. Offer, for example, a lounge with drinks and a smartphone service station there to recharge batteries.

While their smartphones are charging, your participants no longer have any digital distractions and can quickly engage in conversation.

Positive Memories to Take Home

Mobile photo booths have been around for ten years, but they are still a useful addition to any event. At the end of the day, every participant wants to take home something personal and a snapshot with the new acquaintances is perfect. Also, you can use these images for both your presentation of the event, as well as to approach the photographed person in the next year. A win-win, so to say.
